You do not need a flatbed scanner or a special app to digitise a paper document. A modern phone camera and a free browser tool are enough to produce a clean scan that you can email, upload or print. Why a plain photo is not a scan

A normal photo of a page usually has an uneven yellow or grey background, dark shadows from your hand or phone, and slightly curved edges. Text can look soft, and the file is larger than it needs to be. A scan fixes these problems: the paper background becomes white, the text becomes sharp and dark, and the page is cropped straight.

Step-by-step: scan a page

  1. Prepare the page. Lay it flat on a plain, dark or contrasting surface. Smooth out folds. If it is a book page, press the spine gently.
  2. Take the photo. Hold the phone directly above the page, parallel to the paper, so the edges do not look like a trapezoid. Fill most of the frame with the page.
  3. Open the scanner. Go to MZScan and choose your photo (or several photos at once).
  4. Crop and rotate. Use automatic crop to snap to the page edges, or drag the corners yourself. Rotate the photo if it is sideways.

Lighting makes the biggest difference

Good light is more important than a good camera. Sit near a window in the daytime, but avoid direct sun that creates a hard shadow line. In the evening, use a lamp placed to one side and hold the phone so that your own shadow does not fall on the page. Switch off the flash: it creates a bright reflection on glossy paper and washes out the text.

Organise and name your scans

A scan you cannot find is not much use. Use a naming pattern that sorts well, for example 2026-10-electricity-bill.pdf or cv-ali-khan-2026.pdf. Put the year or date first, so files sort in order. Keep one folder per topic (Bills, Education, Medical, ID) and back up important folders to a second place such as cloud storage or a USB drive. For sensitive papers, protect the folder with your phone or computer lock, and delete scans you no longer need.

When a dedicated scanner is still better

A phone is perfect for a few pages. If you must digitise hundreds of pages, a sheet-fed scanner is faster and more consistent. Photographs, documents with very small print and fragile old paper also deserve a proper scanner. For everyday letters, forms, receipts and notes, a phone and a browser tool are more than enough.
